Privacy Policy

Who we are

Frontline London is a non commercial, hobbyist roleplay community based in the United Kingdom. This website and our in game systems are run by community volunteers. This policy explains what personal information we collect when you use the website at frontlinelondon.uk and our connected FiveM game server, why we collect it, and the rights you have over it.

For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), Frontline London is the controller of the personal data described below. If you have any questions about this policy, contact us at privacy@frontlinelondon.uk.

What we collect

Account and identity

You can create an account in one of two ways. If you sign in with Discord, we receive your Discord account ID, username, avatar and the email address linked to your Discord account. If you instead register with an email address and password, we store that email address and a securely hashed version of your password — we never store the password itself.

Either way, you are asked to link your Discord account, because membership of our Discord server is required to take part. If you registered by email, you link it by sending a one time code to our Discord bot, which connects your Discord account to your website account.

Profile information you give us

• Your in character name, collar or warrant number, rank and division choices.
• Anything you choose to publish on your optional public "whois" profile card, such as a display name, tagline, biography and links. This is only visible to others if you turn it on.
• Career applications, complaints, forum posts, event sign ups and similar content you submit.

Verification and eligibility checks

To decide whether you can be whitelisted, we collect and generate information used to check your eligibility:

• The Steam profile link you provide, and information we read from it or from Steam about your account — such as your Steam ID, account age, whether you own Grand Theft Auto V, your playtime, level and number of games owned.
• Your community reputation, checked against the third party STORM reputation service using your Discord identity.
• The age of your Discord account and whether you are a member of our Discord server.
• The outcome of these checks, including any review flags that record why an application was held for manual review.

Game account information

If you link your in game account, we store the FiveM identifiers needed to recognise you on the server (for example your licence and platform identifiers), along with activity such as playtime, duty logs and in game roleplay records created through our systems.

Technical information

• Your IP address, which we use to keep session cookies working, to enforce bans, and to check for VPN or proxy use where that protection is enabled. The IP address recorded when you sign up or link your game account is also kept as part of your account record, for longer than the security log below, so we can detect duplicate accounts and ban evasion.
• A security log of account activity — website logins, game server connections and linked game identifiers, together with the IP address used. We keep this to protect the community against ban evasion and account misuse; detailed entries are deleted after 90 days.
• Standard request logs (the pages requested, time, browser type) used to operate and secure the site.
• Cookies that are necessary for the site to function (see the Cookies section below).

If you register your interest

If you complete our "register your interest" form without creating an account, we collect the details you submit there so we can respond and, if you wish, follow up with you about joining.

How we use your information

We use the information above to:

• create your account, sign you in and keep you signed in;
• run the community features you use, such as forums, complaints, careers, events, duty tracking and the in game roleplay systems;
• link your website account to your in game character;
• check that you are eligible to join and be whitelisted, including the automated screening described below;
• keep the community safe, including enforcing our rules, handling bans and detecting ban evasion or prohibited VPN use;
• communicate with you about your account or community matters.

Our lawful bases for processing are legitimate interests (running a safe, working community for our members), performance of a contract or steps you ask for (giving you the member account and features you signed up for), and consent where you choose to publish optional information such as your public whois card. You can withdraw that consent at any time by turning the feature off or asking us to.

Automated decisions about whitelisting

We use automated checks to help decide whether to whitelist an application. These checks look at signals such as the age of your Discord and Steam accounts, your community reputation, whether you own and have played Grand Theft Auto V, whether you are a member of our Discord server, and whether your details or IP address match another or a banned account. Based on these signals an application may be automatically approved, automatically declined, or held so that a member of our team can review it.

Where a decision that significantly affects you is made in this automated way, you have the right to ask for a person to review it, to express your point of view, and to contest the outcome. To do so, contact us at privacy@frontlinelondon.uk or through our Discord support channels.

Cookies

We only use cookies that are necessary to make the site work. These include a session cookie that keeps you signed in, a security token that protects forms against cross site request forgery, and a cookie that remembers your last seen IP address for ban enforcement. We do not use advertising or third party tracking cookies. Because these cookies are strictly necessary, the site relies on them to function and blocking them in your browser may stop parts of the site working.

Who we share it with

We do not sell your personal information. We share it only where needed to run the community:

• Discord, which provides our sign in, account linking and community server. Your use of Discord is also governed by Discord's own privacy policy.
• Our FiveM game server, which exchanges information with this site so your website account and in game character stay in sync.
• Steam (Valve), which we query using the Steam profile you provide to verify your account and game ownership.
• The STORM reputation service, which we query using your Discord identity to check your community reputation as part of whitelisting.
• An IP intelligence provider used to check whether an IP address is a known VPN or proxy, where that protection is enabled.
• Cloudflare, which sits in front of the site to deliver and protect it and which processes visitors' IP addresses for that purpose.
• Our hosting provider, which stores the data on our behalf so the site can run.

We may also disclose information if we are required to by law, or where it is necessary to protect the community, our members or others from harm.

International transfers

Some of the services we rely on — including Discord, Steam, the STORM reputation service, Cloudflare and our IP intelligence provider — are based outside the United Kingdom, mainly in the United States. This means some of your personal data is transferred internationally when those services are used. Where that happens, we rely on those providers' own safeguards for international transfers (such as the UK extension to the EU Standard Contractual Clauses, or an equivalent adequacy arrangement) to protect your data.

How long we keep it

We keep your account information for as long as you are a member of the community. If you leave or ask us to remove your account, we delete or anonymise your personal data, except where we need to keep limited records for legitimate reasons such as enforcing bans or resolving disputes. Logs and technical records are kept only for as long as they are useful for security and then removed.

Your rights

Under UK data protection law you have the right to:

• ask for a copy of the personal data we hold about you;
• ask us to correct information that is wrong or incomplete;
• ask us to delete your data;
• ask us to restrict or object to how we use it;
• ask us to provide your data in a portable format;
• withdraw consent where our use relies on it.

Keeping your data secure

We take reasonable steps to protect your information, including serving the site over HTTPS, restricting who on the team can access member data, and applying security controls to our systems. No online service can be completely secure, but we work to keep your data safe.

Children

Frontline London is intended for members aged 14 and over. We do not knowingly collect personal data from anyone under that age. If you believe a child has given us their information, contact us and we will remove it.

Changes to this policy

We may update this policy from time to time. When we do, we will change the "last updated" date at the top of this page. Significant changes may also be announced in our community.
